Q:            How Do I Create a Personal Reservation?

 

A:            Go to appropriate website Example: www.MyEventHotels.com 

1.        Select “Personal Reservation” Option

2.        Select Desired Event

3.        Select Hotel

4.        Enter Personal & Payment Information

5.        Print Confirmation

6.        Click on the “Click to Manage” link to

1.        Enter names of persons sharing your room

2.        Request Room Type

3.        Select Other Special Requests

Q:            How Do I Create a Reservation Under a Mini-Block?

 

A:            Go to appropriate website Example: www.MyEventHotels.com 

1.        Enter their Team ID (Be sure to include TEAM) See above

2.        Click “Go Team” option

3.        Enter Personal & Payment Information

4.        Print Confirmation

5.        Click on the “Click to Manage” link to

Q:            How Do I Create a Mini-Block?

 

A:            Go to appropriate website Example: www.MyEventHotels.com 

1.        Select “Create Mini-Block” Option

2.        Select Desired Event

3.        Select Hotel

4.        Enter Team & Personal Information

                            (No Payment Information Required)

5.        Print Flyer or enter email recipeints for distribtuion to all desired mini block participants including family, friends, parents, chaperones, etc.

6.        Print Confirmation

7.        Check email for confirmation

 

Q:            What is a Mini-Block & how does it work?

Secure 3-150 rooms in a Mini-Block

Secure between 3 and 150 rooms at the hotel of your choice. 

If your program calls for more than 150 rooms, please call (800) 930-4064 x2.  This process Does NOT require a credit card.


21 Days to Fill Your Mini-Block

After 21 days any unclaimed rooms will automatically be released back into the main inventory for general sale.

 

Filling your Mini-Block – Made Easy

The system will give the group coordinator the option to "Print a Flyer" for distribution at the next team meeting or email all your attentees utilizing the system “Email tool.” Either option creates and distributes a flyer notifying your members of the secured room block and informs them of the reservation dead line and will instruct them on how to personalize their reservation. 

(Group Coordinator no longer has to collect attendee information and create rooming list.)

 

Individual Guarantee

The group coordinator and or Gym / Team is protected from carrying the liability or expense of the Mini-Block, due to the individuals guarantee. Individuals within the mini block secure rooms with a credit card. In most cases, credit cards are not charged until the group arrives and are required only to hold or secure the reservation. Hotels reserve the right to collect payment of first night room and tax two weeks out from the event start date. All reservations are considered final 8 days out from the event start date and the reservation holder is 100% finiancially liable.


Mini-Block Tools

At any time the Group Coordinator may view a "Pick-Up Report", which is a report of all the reservations within the Mini-Block Including rooming lists, contact information, arrivals and departures and other pertinent information. The "Pick-Up Report" allows the group coordinator to streamline follow-up efforts with unregistered, non-responsive or late participants.


Coaches Comp. (1 per 50)

The hotels offer (1) complementary room night for every (50) room nights a Mini-Block  consumes.  Earned Comps will automatically appear in the Mini-Block "Pick-Up Report".  The group coordinator will be able to solidify that reservation with coaches/staff information 8 days out from the Event Start Date. Comp Calculations are Mini-Block Specific.

 

 

 

Q:            How Do I Cancel a Reservation?

 

A:           Go to appropriate website Example: www.MyEventHotels.com 

  • Choose the “Cancel Reservation” Option and follow the prompts
  • Enter Your Management ID (Same as your Reservation Request ID)
  • Review Reservation information to be cancelled
  • Click “Yes”
  • Check your email for confirmation

 

Q:            I called the Hotel and they do not have record of my reservation

 

A:            The hotel will download the details and specifics of your reservation information from 21 Days from Event Start Date and begin to enter the reservations into their Hotel Specific reservation system. In most cases the hotel will have all reservations entered 10 days out from the event – (DO NOT MAKE CHANGES OR UPDATE DIRECTLY WITH THE HOTEL PRIOR TO 8 DAYS FROM EVENT START DATE) 

 

Q:            Will I Receive a “Hotel” Confirmation #?

 

A:           

Management ID / Reservation Request ID

When a user secures a reservation through ACACheerHotels.com the Champion Housing system automatically assigns a Reservation Request ID/Management to that reservation.  The user will use this ID to update, change and track their reservation through the online system.  Any changes or updates to their reservation will need to be made online using this ID.

 

Hotel Confirmation #

Once the hotel downloads the detailed reservation information from Champion Housing (21 Days from Event Start Date) they will start to enter the reservations into their Hotel Specific reservation system.  This system will supply the Hotel with confirmation # for this reservation. The Hotel then enters this number in to the Champion Housing database to be stored and sent to the user on the 7th day prior to event start date.  (If hotel does not enter this information the user can check in using their First and Last name.)

 

Q:            How to Check in to the Hotel & Group Arrivals?

How to Check in:

The user may or may not have received a Hotel Confirmation Number – (Hotel’s must provide this through the system) If you have received a confirmation number from the hotel please use it upon arrival.

 

In some cases the hotel will not provide confirmation numbers and hold the reservation under the First and Last Name instead.  User is able to check in using first and Last name.

Group Arrivals:

If arriving at the same time with a group of Ten (10) or more, please contact the conference service department or hotel management to inform them of estimated arrival time.  This will give the hotel and opportunity to be properly staffed and prepared for the team’s arrival ensuring a quick and efficient check in process.

 

8 days out from the event the user has agreed to pay in full the entire amount of reservation + tax and incidentals to hotel as presented below.  For any changes to the reservation less than 8 days out from the event start date the user will contact the hotel directly.  Changes in room arrival/departure dates will result in fees.

 

 

Q:            Please Explain Reservation ID – Management ID – Hotel Confirmation #
